University Policy for Graduate Program Probation

Menu

Master’s Degree Rule

While completing coursework, any student who fails to maintain a GPA level designated for the College (2.0, 2.25, 2.5, 2.75, or 3.0) will be on academic probation. A student is removed from academic probation when the cumulative grade point average reaches the required minimum. A student’s academic status is reviewed after any Autumn, Winter, Spring, or Summer quarter in which the student was enrolled in at least 1 credit hour. A student who remains on probation for three sequential quarters of enrollment may be dismissed. Please note that this policy applies to program coursework alone. (See section on “Milestones” below.)

Terminal Degree Rule (e.g. for MFA, PhD, EdD)

Any student who fails to maintain a GPA designated by the college (3.0, 3.25, or 3.5) will be on academic probation. A student is removed from academic probation when the cumulative grade point average reaches the GPA designated by the college. A student’s academic status is reviewed after any Autumn, Winter, Spring, or Summer quarter in which the student was enrolled in at least 1 credit hour. A student who remains on probation for three sequential quarters of enrollment may be dismissed. Students pursuing the MA/PhD programs will be held to the PhD requirements for the entire career. Please note that this policy applies to program coursework alone. (See “Milestones” below.)

Milestones

In addition to coursework, graduate programs may assign one or more milestones and specify a time period within which each milestone must be completed in order for the student to remain in good academic standing. Information about milestones and any deadlines associated with them must be included in the program requirements documented in the Academic Catalog.

Specialized Accreditation and Licensure

Graduate programs leading to licensure or otherwise overseen by specialized accreditation will follow rules for probation set out by their specialized accrediting bodies. If rules for probation are not addressed in the specialized accreditation, the program will follow DePaul’s policy.

Note regarding the Academic Integrity Policy: If a student receives one or more course-based sanctions as a result of the Academic Integrity process, any revised grade will figure into the GPA to determine academic standing as defined in the Probation Policy. If a student receives one or more Academic Integrity Board sanctions, these are separate from Probation Policy and may supersede it.

Procedures

Additional Criteria

With the exception of additional rules for probation mandated by specialized accrediting bodies for programs leading to licensure or other specialized accreditation and milestones as described above, the proposed Graduate Probation Policy includes no additional criteria. Instead, programs can identify their own criteria that will trigger an advising alert in Salesforce. The University Registrar can create alerts and also create separate reports so units can keep track. Individual programs will contact students about support and processes to help them regain good academic standing.

Advising Holds

If a program wants to require an advising appointment prior to course enrollment, UR can apply any advising holds centrally but the unit must communicate the reason for the hold to the student.

Readmission

A student may be readmitted based on review and approval by the program in consultation with the designated College Exception Committee.
